Job description
### Role & Company / Project Overview We are supporting our client, a founder-led professional services firm, in hiring a Senior Executive Assistant to the CEO. The role is fully remote within Canada (Eastern time zone) and is designed for an exceptional professional who runs the CEO’s office, not just their calendar. This position offers a close partnership with the CEO with real ownership over how her time, priorities, and commitments are managed, alongside directing a small support bench of sourced resources, shaping the CEO's external presence and key events, operating in a tech-forward environment utilizing AI and automation, and offering a genuine path to grow into a Chief of Staff role. ### Key Responsibilities & Daily Duties • Capture every material commitment, decision, and action the CEO generates, ensuring each has an owner, a due date, and a priority. • Chase what is owed to the CEO before it is late, and escalate with a recommendation when chasing does not move it. • Build the calendar around the CEO’s quarterly priorities, protecting strategy and key client time from incoming requests. • Move recurring work off the CEO’s desk and off your own to well-briefed support resources, then inspect and ensure it is completed correctly. • Direct, brief, and coach your own small support bench of sourced resources (VAs, coordinators, or contractors). • Line up meetings and introductions before travel is booked, and plan conferences, memberships, and submission deadlines well ahead of time. • Shape the CEO’s external presence, client-adjacent meetings, and key events. ### Required Qualifications, Skills & Experience • Substantial experience supporting a founder, CEO, or senior executive. • Proven track record directing the work of others (VAs, coordinators, or contractors) and holding them to high standards. • Confidence and ability to tell a CEO when the calendar is overcommitted or when incoming requests should be declined. • Exceptional accountability—never letting things drop, including tasks that belong to other people. • Clear and effective written communication skills enabling others to act on briefs without requiring follow-up conversations. • High level of integrity and discretion when handling sensitive matters. • Comfort in a tech-forward environment where AI, automation, and smart systems are actively utilized. ### Working Hours, Shifts & Location Details • Fully remote position based in Canada, operating on Eastern Time Zone hours. ### Compensation & Benefits • Career advancement pathway with a genuine trajectory to grow into a Chief of Staff role as trust and business knowledge develop. ### Application Instructions • Interested candidates who fit the profile are invited to submit their updated resume for consideration.
